Gudielines for Speakers at YOU Events

Dear Speakers,

Congratulations on being invited to speak at the YOU Event.

To ensure the smooth conduct of all scientific sessions and to provide every speaker with an engaging and scientifically enriching platform, kindly follow the guidelines below.

  1. Presentation Format
    • Presentation: 8 minutes (unless otherwise specified)
    • Discussion/Q&A: 2 minutes
    • Please strictly adhere to the allotted 8-minute presentation time.
    • The session chair/moderator may stop presentations exceeding the allotted time.
    • Please ensure adequate time for discussion and interaction.
  2. No Podium Stage & Presentation Setup
    • There will be NO PODIUM on the stage in a non-podium stage
    • All speakers will be free to present across the stage with a wireless lapel mic / collar mic to ensure mobility and a wireless presenter
    • Please be prepared to deliver your presentation without a lectern/podium.
    • Appropriate audiovisual facilities will be provided.
    • Speakers should report to the session hall at least 30 minutes before their scheduled session.
  3. Podium Stage
    • In a podium stage the podium and laptop will be available
    • Because of the video recording speaker is allowed to speak only from the podium
  4. Presentation Content & Slides
    • AI generated content and Slides are highly discouraged
    • Please use the official presentation template, wherever applicable.
    • Your talk should be precise, focused and directly relevant to the assigned topic.
    • Avoid unnecessary background information, lengthy introductions and content that is beyond the scope of the session.
    • Keep slides concise, clear and scientifically focused.
    • Avoid excessive text, animations and unnecessary transitions.
    • Ensure that all figures, tables, graphs and videos are clearly visible.
    • Use appropriately sized fonts and clearly labelled figures, tables and legends.
    • The number of slides should be appropriate for an 8-minute presentation.
    • Please focus on the key take-home messages and practical relevance of your topic.
    • Provide mail/Meta/X to the audience for taking questions.
  5. Submission of Presentations
    • Kindly submit your final presentation on or before given deadline.
    • The presentation should be sent via email to the Convenor(s) of your respective session
    • In addition, please send a copy of your presentation to: youthorganizationusi@gmail.com
    • Please use a clear file name, preferably: Speaker Name_Session/Topic
    • Once submitted, please avoid last-minute changes unless specifically requested by the scientific committee.
  6. Technical Requirements
    • Personal laptops and pen drives will not be permitted for presentation.
    • All presentations must be submitted in advance for technical preparation.
    • Please ensure that videos, embedded media, fonts and animations work correctly.
    • If your presentation contains special fonts, videos or other media files, please inform the technical team in advance.
  7. Registration
    • Conference registration is mandatory for all speakers.
    • Please ensure that your registration is completed before the conference.
  8. Reporting Time
    • Speakers should report to their respective session hall at least 30 minutes before the start of their session.
    • Kindly remain available throughout your session.
    • Please introduce yourself to the session coordinator/AV team upon arrival.
  9. During the Presentation
    • Start promptly when called by the moderator.
    • Keep your presentation within the allotted 8 minutes.
    • Keep the talk precise, focused and relevant to the assigned topic.
    • Avoid reading directly from the slides.
    • Emphasise key evidence, important clinical points and practical take-home messages.
    • Be prepared for questions from the moderator and audience during the 2-minute discussion.
    • Maintain a professional and respectful scientific discussion.
  10. Conflict of Interest & Scientific Disclosure
    • All speakers must disclose any relevant conflicts of interest at the beginning of their presentation.
    • Please include a dedicated Conflict of Interest/Disclosure slide where applicable.
    • Any relevant financial relationships, consultancy, advisory roles, research funding, honoraria or industry affiliations should be appropriately disclosed.
    • Presentations should be scientifically accurate, balanced and evidence-based.
  11. Patient Privacy & Ethical Considerations
    • Ensure appropriate patient consent and institutional approvals for clinical images/videos, wherever applicable.
    • Patient-identifiable information must be removed or appropriately anonymised.
    • Do not include copyrighted material without appropriate permission.
