Dear Presenters, Please follow the following rules and regulations for your abstract presentations during YOU events.
1. Presentation Categories
Accepted abstracts may be selected for presentation in one of the following categories:
- Podium Presentation
- Video Presentation
- Poster Presentation
The category and session assigned to each abstract will be communicated by the Scientific/Abstract Review Committee.
2. Presentation Schedule
The detailed presentation schedule, including the date, time, venue/hall and presentation number, will be communicated to the presenters before the conference.
Presenters are requested to:
- Check their assigned presentation date, time and venue carefully.
- Report to the designated presentation hall well before the beginning of their session.
- Remain present throughout their respective scientific session.
- Be seated in the designated presenter area before the session begins.
Please note that presenters may not be called individually if they are absent when their presentation number is announced.
3. Presentation Time Limit

| Moderated Poster | 3 minutes | 1 minute |
Strict adherence to the allotted time is mandatory.
The session chair/moderator may request the presenter to conclude when the allotted presentation time has elapsed in order to maintain the scientific programme schedule.
Presenters should plan and rehearse their presentation accordingly.
4. Conference Registration
Conference registration is mandatory for all presenting authors.
- Only registered presenting authors will be permitted to present their accepted abstracts.
- Presenters are requested to complete their registration within the stipulated period.
- Any issue regarding registration should be resolved with the conference registration team before the scientific session.
5. Official YOUCON Presentation Template
- The official YOUCON presentation template should be used for all presentations.
- Presenters should maintain the prescribed conference branding and format.
- The template should not be substantially modified.
- Figures, tables, images, videos and other external material should be appropriately acknowledged or referenced wherever applicable.
6. Slide Requirements
Podium Presentations
- There may be no fixed maximum number of slides, unless otherwise specified by the Scientific Committee.
- However, the presentation must be appropriately structured to fit within the allotted presentation time.
Video Presentations
- There may be no fixed maximum number of slides, unless otherwise specified.
- The entire presentation, including the surgical video and verbal explanation, must remain within the allotted presentation time.
Poster Presentations
- The number of slides/pages will be 3 as maximum.
- Presenters should keep the poster concise, visually clear and focused.
7. Video Presentation Guidelines
Both videos with voiceover and videos without voiceover are permitted, unless otherwise specified for a particular conference.
For videos without voiceover:
- The presenter should provide a brief verbal explanation during the presentation.
- Background music may be used where appropriate, provided it does not interfere with the scientific explanation.
- Music should be used judiciously and should not distract from the surgical content.
Recommended Video Specifications
The preferred format is:
- File format: MP4/MPEG
- Video codec: H.264
- Resolution: Full HD, 1920 × 1080 pixels
- Frame rate: 25–30 fps
- Audio: Clear and appropriately balanced, where applicable
Presenters should ensure that the video maintains good image quality while keeping the file size reasonably optimized.
All videos should be tested before submission to ensure smooth playback on the conference audiovisual system.
8. Patient Confidentiality and Ethical Requirements
For all presentations, particularly surgical videos:
- Patient identity must be completely anonymized.
- Names, hospital numbers, photographs or other identifying information must not be displayed unless appropriately permitted and consented.
- Presenters are responsible for ensuring that appropriate institutional and ethical requirements have been fulfilled.
- Patient consent should be obtained wherever required by applicable institutional or ethical policies.
- Any relevant conflict of interest should be disclosed.
- Appropriate acknowledgements and references should be included where applicable.
9. Presentation Content
- Presentations should remain concise, scientific and focused on the accepted abstract.
- A suggested structure for research presentations is:
- Introduction/Background → Objectives → Methods → Results → Key Findings → Conclusion
- For surgical videos, the suggested structure is:
- Clinical Scenario → Surgical Technique → Key Steps/Innovation → Outcomes → Learning Points
- Presenters should avoid excessive background information and unnecessary text, as these may consume valuable presentation time.
- The key scientific message should be clearly communicated to the audience.
10. Submission of Presentation
The final presentation must be submitted within the deadline specified by the Scientific Committee.
Presenters should:
- Submit the final version of the presentation.
- Follow the prescribed file naming convention.
- Ensure that all fonts, images, animations, audio and video files are properly embedded.
- Verify that all multimedia components function correctly.
- Avoid unusual fonts, unsupported formats or external links that may not function on the conference system.
Once the final presentation has been submitted, subsequent changes may not be possible.
11. Technical Requirements at the Venue
All presentations will be uploaded to the official conference audiovisual system.
To ensure smooth conduct of the sessions:
- Personal laptops will generally not be permitted for presentations.
- Direct transfer of presentations using personal pen drives at the presentation venue may not be permitted.
- Presenters should submit their presentations in advance as instructed by the Scientific Committee.
- A designated preview/AV room may be made available for presenters to verify their presentations before the session.
Presenters are encouraged to check their presentation in the preview room, particularly if it contains videos, animations, audio or other multimedia elements.
12. Presenter Responsibilities
Presenters are expected to:
- Arrive at the designated hall well before their session.
- Familiarize themselves with the presentation and audiovisual setup.
- Be present for the entire scientific session.
- Be seated in the designated presenter area before their presentation.
- Keep their presentation within the allotted time.
- Respond to questions briefly and professionally.
- Follow the instructions of the session chair, moderator and technical team.
If the presenting author is unable to attend, the Scientific/Abstract Review Committee should be informed at the earliest possible opportunity.
Any proposed change in the presenting author should be communicated to and approved by the Scientific Committee in advance.
13. Discussion and Questions
A brief discussion/Q&A period will follow each presentation.
Presenters should:
- Listen carefully to the question.
- Keep responses concise and scientifically relevant.
- Avoid extending the answer beyond the allotted discussion time.
- Maintain professional and respectful communication during the discussion.
The session judges and the moderator will control the discussion and timing.
14. Evaluation and Awards
Presentations may be evaluated by designated session chairs/judges based on criteria determined by the Scientific Committee.
Evaluation may include:
- Scientific merit and originality
- Clinical relevance
- Methodology
- Quality and clarity of results
- Presentation structure and visual quality
- Delivery and communication
- Adherence to the allotted time
- Response to questions
- Overall impact and educational value
The Scientific Committee may select outstanding presentations from each category for a Best Podium/Poster/Video Presentation Session or other designated award session.
Details regarding the selection process, timing and venue will be communicated separately.
15. Social Media Engagement
- Presenters are encouraged to share their YOUCON presentation, key findings and conference experience on professional social media platforms.
- Please use the official #youcon hashtag(s) and tag the official YOUCON/USI social media handles.
- Help us amplify the scientific work and academic spirit of YOUCON through responsible social media engagement.
15. Important Reminder
The YOUCON scientific programme is designed to provide maximum opportunity for young urologists to present and discuss their academic work.
The success of the scientific programme depends on every presenter adhering to the prescribed:
- Submission deadlines
- Presentation format
- Presentation time
- Technical requirements
- Session schedule
We therefore request all presenters to prepare their presentations in advance, submit them within the specified deadline and strictly follow the instructions provided by the Scientific Committee.
